By completing our application form you accept the following terms and conditions:

Membership

1.    The Acorn Reward Scheme is only available to registered volunteers of Chiltern Rangers.  Only one membership per person/email address is permitted. 

2.    If you need to change any of your details you have registered with on the Acorn Reward Scheme please do so on your My Account page. 

3.    We will communicate with you from time to time by email at the address you have given to us. Any such communication will be in relation to the Acorn Reward Scheme or otherwise in accordance with our Privacy Policy.

4.    Your account will remain active if you use your Acorn Reward Scheme portal at least once in any rolling 24 month period. If you fail to use your Acorns balance within this period, the Acorns will expire. 

5.    Acorns will be distributed to volunteers who have actively participated with Chiltern Rangers on a monthly basis.  We reserve the right to limit how many Acorns can be awarded to any one account.    

6.    From time to time, we may run special promotions and award additional Acorns.

7.    Unless an item is faulty, returns are not acceptable.

8.    Your Acorns balance will be updated fortnightly.

9.    Acorns cannot be exchanged for cash.

10.    We reserve the right to refuse an application to join the Acorn Reward Scheme.

Data protection and privacy
11.    When you have registered for the Acorns Reward Scheme, you will be asked to provide certain personal information, including your name, address, contact details. Chiltern Rangers are committed to maintaining the security of your personal information in accordance with the requirements of the Data Protection Act. All reasonable steps are taken to ensure that your personal data is kept secure against unauthorised access, loss, disclosure or destruction. The Privacy Policy will apply whenever you provide us with personal information, except as required by law or in accordance with these Terms and Conditions, your information will not be passed to any other persons without your permission.
 
General
12.    You are responsible for the security of your Acorn Rewards Portal and all Acorns issued. 

13.    If you suspect unauthorised use of your Acorn Rewards Portal, you should immediately report this to Chiltern Rangers on 01494 474486.

14.    We may close an account which has not been used in any rolling 24 month period.

15.    We may also immediately suspend or terminate your rights and/or close an account if we reasonably believe that you have acted in a manner not permitted by these terms and conditions, or if you engage in (or we reasonably suspect you of engaging in) any theft from or misconduct in connection with us or if you supply false or misleading information to us or we discover that you are not eligible to be a member of the Acorn Rewards Scheme, or for any other reason we see fit.

16.    You can also close your account at any time by notifying us in writing. If an account is closed for any reason, all rights to redeem the Acorns from that account are lost.

17.    We can cancel, withdraw or alter the scheme, including these Terms and Conditions at any time. 

Privacy Policy

Our commitment

Chiltern Rangers is committed to keeping personal details of data subjects (you) safe and secure.  This notice explains how and why we collect, store and delete personal data for our Acorn Reward Scheme.

Responsibilities

The Data Protection Lead Officer is responsible for ensuring that this notice is available to potential data subjects prior to Chiltern Rangers collecting/processing their personal data.

All Employees/Staff of Chiltern Rangers who interact with data subjects are responsible for ensuring that this notice is available and their consent to the processing of their data is secured.

Fair Processing Notice

The personal data we collect from you will be used for the following purposes:
●    To contact you about our Acorn Reward Scheme and with relevant news which you have asked for.
●    To contact you with details of special promotions and to advise of additional Acorns that have been awarded.

By consenting to this, you are giving us permission to perform those actions.

What is Personal Data?
Under the EU’s General Data Protection Regulation: 

Personal Data is defined as “any information relating to an identified or identifiable natural person ('data subject'); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person”.

Consent is required for Chiltern Rangers to process both types of personal data, but it must be explicitly given. Where we are asking you for sensitive personal data we will always tell you why and how the information will be used.

Why does Chiltern Rangers need to collect and store personal data?

In order for us to contact you regarding our Acorn Reward Scheme we need to collect your personal data.  In any event, we are committed to ensuring that the information we collect and use is appropriate for this purpose, and does not constitute an invasion of your privacy. We may pass your personal data on to our service providers who are contracted to Chiltern Rangers in the course of dealing with you. Our contractors are obliged to keep your details securely, and use them only to fulfil the service they provide you on our behalf. Once your service need has been satisfied or the case has been closed, they will dispose of the details in line with Chiltern Rangers’ procedures. 

How Chiltern Rangers uses your information?

Chiltern Rangers will collect, store and use the information you provide in a manner that is compatible with the EU’s General Data Protection Regulation (GDPR). We will endeavour to keep your information accurate and up to date and not keep it for longer than is necessary. In some instances the law sets the length of time information has to be kept, but in most cases Chiltern Rangers will use its discretion to ensure that we do not keep records outside of our normal business requirements. Our aim is not to be intrusive, and we undertake not to ask irrelevant or unnecessary questions. Moreover, the information you provide will be subject to rigorous measures and procedures to minimise the risk of unauthorised access or disclosure.

Your rights
You have the right to access the information we hold about you.  To do this contact us at info@chilternrangers.co.uk or telephone 01494 474486 and we will send you a subject access request form.  Once we have received this we will respond as soon as possible and within a month.  If you wish to update your information or have your details deleted from our organisation please contact us using one of the above methods.
